Adding & Removing New Fleet to PM Program
Objective: Gain an understanding of how to add and remove a fleet from a Preventive Maintenance Program in myData.
Adding New Fleet to PM Program
- Go to the ‘Fleet and Plant Management’ module by clicking on the ‘Truck’ icon.
- Click on ‘PM Programs’:
- A list of all programs appears in a separate window.
- Choose the program to add the new fleet asset to, and then click the ‘Edit’ button.
- A list of fleet assets currently assigned to the program is shown along with the details of how frequently the program occurs (meter interval & day interval).
Choose the ‘Assign’ button to add one or more fleet assets.
- The ‘Asset Search’ form pops up. Click the ‘Search’ button to get a list of all fleet assets.
- Choose the fleet assets. To select a group of assets that are all together on the list click the first asset and then press the ‘Shift key’ and select the last asset in the group.
To select assets that are not grouped together in the list hold down the ‘Ctrl’ key and use the mouse to select each asset on at a time.
Once the assets are selected, click the ‘Select Asset’ button.
- ‘Meter Last Done’ is the meter reading that the program was last done for the asset.
This caters to a fleet that is second-hand or is added to a new maintenance program part way through its life. ‘Date Last Done’ is the date the last service was performed.
It is not necessary to fill in both ‘Meter Last Done’ or ‘Date Last Done’.
If the PM Program only has a ’meter interval’ defined, then only ‘Meter Last Done’ is needed.
Likewise, if the PM Program only has a ‘Day Interval’ defined then just enter a ‘Date Last Done’. If the fleet is brand new, then both ‘Meter Last Done’ and ‘Date Last Done’ can be left blank. No other fields need to be filled in. Click the ‘OK’ button to continue.
- The PM Program form reappears and lists the assets now assigned to the PM Program.
Click the ‘Save button to save changes and close the form.
Removing Fleet from a PM Program
- Follow steps 1 to 4 from the above ‘Adding New Fleet to PM Program’ instructions.
- Highlight the Fleet asset to be removed from the program by clicking on it and then selecting the ‘Delete’ button.
Note that only one fleet asset can be removed at a time.
Click on the ‘Save’ button to save changes and close the form.
Tips:
- Sometimes a program is created for factory recalls or 1st service by dealer.
These are once off events and do not re-occur.
By adding the fleet asset to the program you ensure it appears in the maintenance due and overdue reports.
Once the work ticket for the job is closed you need to manually remove the asset from the PM Program using the steps above.
Note this is only for PM programs that occur once.
Most PM programs repeat based on the meter/day interval defined in the PM Program. - The ‘Depended PM’ option in the PM Program allows a minor/major service interval pattern to be configured.
For example, 10,000km is classified as PMA (Minor Service) and 20,000km is classified as PMB (Major Service).
At PMA configuration, the Depended PM should be set as PMB. - The meter-based programs use the date of the last non-zero meter reading and the average daily usage (based on maximum and minimum meter reading and first reading date and last reading date). So if the average daily usage is 100km/day and service interval is 15,000 km and the reading on July 1st was 12,000 when the vehicle is due for service in 3,000 (from 1st July), which is 30 days (3000km 100/km/day = 30 days), which means it will be due for service on July 30th.
